FireCoach AI Inc (“FireCoach,” “we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered sales training platform and visit our website at firecoach.ai.

By using FireCoach, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the platform.

We collect the following categories of information:

Account Information

When you create an account, we collect your name, work email address, company name, and role. This information is required to provide you access to the platform.

Practice & Usage Data

We collect data generated during your use of FireCoach, including roleplay session recordings, performance scores, scorecards, and coaching feedback. This data is used solely to provide and improve your experience on the platform.

Technical Data

We automatically collect certain technical information when you use FireCoach, including your IP address, browser type and version, device type, operating system, and usage logs. This data helps us maintain the security and performance of the platform.

Payment Information

Payments are processed by Stripe, our third-party payment processor. FireCoach does not store your credit card numbers or full payment details. Stripe’s privacy policy governs how your payment data is handled.

4. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the FireCoach platform and its features
  • Process payments and manage your subscription
  • Send you service-related communications (account updates, security notices, product announcements)
  • Respond to your support requests and inquiries
  • Comply with applicable legal obligations
  • Detect, prevent, and investigate fraud or abuse

5. Data Sharing

We do not sell your personal data. We share your information only in the following limited circumstances:

  • Stripe: For payment processing. Your billing information is transmitted directly to Stripe and governed by their privacy policy.
  • Analytics Tools: We use PostHog and Google Analytics to understand how the platform is used. These tools may receive anonymized usage data. You can opt out of analytics tracking (see Section 8).
  • Cloudflare Turnstile: Our free tools use Cloudflare Turnstile to verify that visitors are human and to protect these pages from automated abuse. Turnstile runs invisibly and collects information about your browser and device, including your IP address, to make that assessment. Cloudflare processes this data as described in the Cloudflare Turnstile Privacy Addendum. Turnstile does not use this data for advertising or cross-site tracking.
  • Groq: Input you submit to our free tools (for example, your industry and product) is sent to Groq, via Cloudflare AI Gateway, to generate your results. Do not submit confidential or personal information through these tools.
  • Legal Requirements: We may disclose your information if required by law, court order, or a government request, or to protect the rights, property, or safety of FireCoach, our users, or the public.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you via email and/or a prominent notice on our website of any such change in ownership.

6. Your Sales Methodology is Protected

This is important. FireCoach explicitly does not use your data to train shared or public AI models. Your pitch decks, roleplay scenarios, scorecards, call recordings, and coaching methodology remain exclusive to your organization.

We process your practice data to generate your scores and coaching feedback. That data never leaves your organizational account to benefit another company or be incorporated into models available to our other customers. Your competitive advantage stays yours.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Rectification: Request correction of inaccurate or incomplete data
  • Erasure: Request deletion of your personal data (“right to be forgotten”)
  • Portability: Request your data in a structured, machine-readable format
  • Restriction: Request that we limit processing of your data in certain circumstances
  • Objection: Object to our processing of your data for direct marketing or legitimate interest purposes

8. Cookies

FireCoach uses the following types of cookies:

  • Essential Cookies: Required for the platform to function (session management, authentication). These cannot be disabled. This includes a cookie set by our free tools that holds a random identifier used only to count your daily free usage — it contains no personal data and is not used for tracking or advertising.
  • Analytics Cookies: PostHog and Google Analytics help us understand how the platform is used. These are enabled by default but can be opted out.
  • Marketing Cookies: Optional cookies used for advertising and remarketing. These require your explicit consent.

9. Data Retention

We retain your data for the following periods:

  • Account Data: Retained until you request deletion or your account has been inactive for 3 years, whichever comes first.
  • Practice & Usage Data: Retained for the duration of your account and deleted within 30 days of account closure.
  • Payment Records: Retained for 7 years in accordance with financial regulations and tax requirements.
